Pre-Employment Vetting Documentation Guide

If you are being put forward for a role with Grovelands, there will be certain documentation you will need to provide in order to satisfy our pre-employment screening checks. This guide explains the documents that will need to be on your file for your screening.

Original Documentation

Valid Passport, or British citizens can provide their driving licence (both photo card, and paper counterpart).

Proof of Right to Work

British/EEA citizens should provide a valid British/EEA passport. However, British citizens can opt to provide both a full birth certificate and proof of NI number instead of a passport.

Non EEA citizens must provide a valid passport and a valid visa/residence permit.

Proof of Residence/Address

You can prove your current address by supplying any of the following documents, as long as they’re dated within 3 months of your potential start.

  • Bank statement – must be the original, and not printed from the internet
  • Credit card statement
  • Utility bill
  • Mortgage statement
  • Council tax bill (dated within the last 12 months)

Qualifications

You will need to provide proof of any professional or financial qualifications obtained (e.g. FPC, CeMap etc), as well as proof of your degree/masters.

Proof of Activity

We require proof of your activity to cover where you have been working, and to explain any gaps in your employment history. We need to show your activity continuously for the last 3 or 5 years, please confirm this with your resourcer if you are unsure.

For each period of work, we need something to mark the beginning, and something to mark the end. For periods in which you have not been working, you will need to show your activity for each month of the gap. Examples of acceptable forms of evidence are detailed below:

Employment (to show start and end)

You can provide:

  • Paper pay slips
  • P45
  • Employment contracts (much be signed)
  • Bank statements showing first and last payment
  • PDF bank statements (emailed to us)
  • PDF pay slips (emailed to us)
  • Confirmation emails (emailed to us)

Employment gaps (to cover each month)

If you were studying, you can provide:

  • Certificates/transcripts
  • Confirmation letters

If you were unemployed/job searching/or on jobseekers allowance, you can provide:

  • Bank statements
  • PDF bank statements (from online banking – can be emailed to us)
  • Jobseekers confirmation or letters
  • Job applications
  • CV submissions
  • Emails regarding potential jobs
  • Rejection emails

If you were travelling, you can provide:

  • Passport stamps
  • Flight confirmation email
  • Hotel booking confirmation
  • Boarding pass
  • Attraction tickets

If you were on maternity/paternity leave, you can provide:

  • Child’s birth certificate
  • Bank statements

Time off due to illness/health:

  • Medical correspondence/letters
  • Bank statements
